Position: Assistant Office Manager

Location: Bohemia, NY, Suffolk County

Type: Full-time

Responsibilities:

  • Phone Communication: Manage incoming calls and provide exceptional customer service to studio owners, venue, and hotel personnel. Address inquiries, provide information, and assist with resolving issues professionally and efficiently.

  • Hotel Bookings: Coordinate the booking of host hotels for regional events for event staff and event participants. Ensure that accommodations meet the standards and preferences of our staff and guests while staying within budget guidelines. Coordinate hotel reservations for event staff during the dance competition season.

  • Flight Bookings: Assist in booking flights for traveling staff. Collaborate with airlines websites to secure the best options in terms of timing and cost-effectiveness.

  • Administrative Support: Provide administrative assistance to the office manager and event planning team. This includes data entry, preparing documents, managing schedules, and contributing to the overall efficiency of the office operations.

  • Event Logistics: Collaborate closely with the event planning team to ensure all logistical aspects of the dance competitions are well-coordinated. Assist in organizing schedules, venues, and other event-related details.

  • Customer Relations: Foster positive relationships with studio owners and directors. Address inquiries, provide guidance, and assist with any concerns in a professional and friendly manner.

  • Problem Solving: Effectively address and resolve any issues or challenges that arise during the event planning and execution process. Stay calm under pressure and find solutions to unexpected situations.

Qualifications:

  • Prior Experience: 2+ years of experience in office management, administrative support, or a related field. Experience in event planning or the dance industry is a plus.

  • Exceptional Communication: Strong written and verbal communication skills are essential for interacting with diverse stakeholders.

  • Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.

  • Attention to Detail: Meticulous attention to detail is extremely important in every aspect of this position. Especially when working on tasks such as coordinating travel arrangements, managing event logistics and working with company financial information.

  • Customer Service: A customer-centric attitude with a focus on delivering exceptional service to all stakeholders.

  • Tech Proficiency: Proficient in using Microsoft Office Suite and other relevant software. Experience with travel booking platforms is a plus.

  • Flexibility: Willingness to adapt to changing requirements and work occasional weekends or evenings during peak event seasons.
